Terms and Conditions/Refund policy - Open Award Centre, Adventurous Journeys
- Each participant must be prepared with the minimum equipment required as per the provided 'What to bring list'.
- Participants are responsible for completing all registration procedures and be formally accepted by the relevant Duke of Ed Award Unit at the appropriate level prior to their Adventurous Journey.
- To guarantee the safety of all participants all medical information must be accurately completed and any medical conditions or requirements clearly advised.
- Each adventurous journey group will be accompanied by AOE (Australian Outdoor Education) employees who have a current cleared NSW Working with Children Check.
- Adventurous journey groups may be composed of mixed gender participants. Participants will be in single gender tents.
- All participants are responsible for their own belongings while on the adventurous journey.
- All participants are required to follow directions from AOE employees and cooperate with activities as a requirement of the Duke of Edinburgh’s Award (this includes social and behavioural aspects of another participants experience). Failure to cooperate and where this behaviour places themselves, other participants or the employees at risk, may result in the participant having to leave the program. The parent/guardian will be responsible for arranging their transport home at their own cost. In this event all fees paid are non-refundable.
- The nominated fee is inclusive of the expedition only and does not include transport to and from the expedition location or any additional costs.
- All booking forms must be submitted by e-mail no less than 21 days prior to the departure date.
- All payments must be made in full prior to the departure date.
- Any cancellation from the adventurous journey made up to 14 days prior to the departure date will be refunded in full provided another adventurous journey is booked. If an alternate date is not booked then the refund will be less a $50 administration fee.
- Any cancellation from the adventurous journey made within 14 days of the departure date will be refunded 50% of the fee paid, unless another adventurous journey is booked.
- Any cancellation from the adventurous journey made within 3 days of the departure date will forfeit all fees paid, unless the participant’s place is filled from a waiting list and another adventurous journey is booked.
- AOE reserves the right to cancel any program prior to departure, including upon arrival to the start location, in the event of environmental hazards and/or authorities not permitting the program to go ahead. Participants will be offered the opportunity to join another advertised adventurous journey at the same level in the same calendar year, free of any additional charges.
- During the adventurous journey AOE reserves the right to modify or cancel any scheduled activities in the event of an environmental hazards and/or following advice from authorities rendering any areas closed to the public due to potential hazards or dangers
Inclusions
- Industry accredited organisation.
- Qualified and experienced adventure guides with first aid qualifications.
- Staff to participant ratios; Hiking 1:12 - Canoeing 1:10
- Minimum group size of 7 students.
- Support vehicle and powerboat to accompany journeys when required.
- Remote area First Aid Kits and emergency communication equipment including: VHF, radios, satellite phone and satellite messenger/GPS tracker.
- FREE equipment hire: hiking backpacks, tents, mats and cooking stoves.
- Drinking water supplied at each campsite.
- Campsite bookings and National Park/State Forest day usage fees.
- Maps and compass supplied to each participant.
- Medical data collection and provision to staff.
- FREE briefing session at your college (Online or Face to Face)
- All ORB reporting requirements.
Exclusions:
- Personal clothing and equipment as listed on the ‘What to bring list’
- All meals for the duration of the Adventurous Journey.
- Transport to and from the start and finish locations.
