Adventurous Journey bookings & Administration Services (Annual subscription)
Here you will find important information about our Terms and Conditions that help ensure a safe, enjoyable, and smooth experience for all participants in our outdoor adventure programs.

- All Adventurous Journeys must be approved by your Duke of Ed Leader before booking.
- Each participant must be prepared with the minimum equipment required as per the provided 'What to bring list'.
- Participants are responsible for completing all registration process and be formally accepted by the relevant Duke of Ed Centre at the appropriate level prior to their Adventurous Journey.
- To guarantee the safety of all participants all medical information must be accurately completed and any medical conditions or requirements clearly advised.
- Each adventurous journey group will be accompanied by AOE (Australian Outdoor Education) employees who have a current cleared NSW Working with Children Check.
- Adventurous journey groups may be composed of mixed gender participants. Participants will be in single gender tents.
- All participants are responsible for their own belongings while on the adventurous journey.
- All participants are required to follow directions from AOE employees and cooperate with activities as a requirement of the Duke of Edinburgh’s Award (this includes social and behavioural aspects of another participants experience). Failure to cooperate and where this behaviour places themselves, other participants or the employees at risk, may result in the participant having to leave the program. The parent/guardian will be responsible for arranging their transport home at their own cost. In this event all fees paid are non-refundable.
- The nominated fee is inclusive of the expedition only and does not include transport to and from the expedition location or any additional costs.
- All booking forms must be submitted by e-mail no less than 21 days prior to the departure date.
- All payments must be made in full prior to the departure date.
- Any cancellation from the adventurous journey made up to 14 days prior to the departure date will be refunded in full provided another adventurous journey is booked. If an alternate date is not booked then the refund will be less a $50 administration fee.
- Any cancellation from the adventurous journey made within 14 days of the departure date will be refunded 50% of the fee paid, unless another adventurous journey is booked.
- Any cancellation from the adventurous journey made within 3 days of the departure date will forfeit all fees paid, unless the participant’s place is filled from a waiting list and another adventurous journey is booked.
- AOE reserves the right to cancel any program prior to departure, including upon arrival to the start location, in the event of environmental hazards and/or authorities not permitting the program to go ahead. Participants will be offered the opportunity to join another advertised adventurous journey at the same level in the same calendar year, free of any additional charges.
- During the adventurous journey AOE reserves the right to modify or cancel any scheduled activities in the event of an environmental hazards and/or following advice from authorities rendering any areas closed to the public due to potential hazards or dangers.
Journey Inclusions
- Industry accredited organisation.
- Qualified and experienced Outdoor Leaders with first aid qualifications.
- Staff to participant ratios; Hiking 1:12 - Canoeing 1:10
- Minimum group size of 8 students.
- Support vehicle and powerboat to accompany journeys when required.
- Remote area First Aid Kits and emergency communication equipment including: VHF, radios, satellite messenger and GPS tracker.
- FREE equipment hire: All participants in the Adventurous Journey program are entitled to free gear hire, which includes essential items required for the journey. If participants choose to bring their own gear instead of utilising the provided gear, no refunds or price reductions will be offered. The free gear hire is included as part of the overall program fee, and opting out of this service does not affect the total cost of the Journey.
- Drinking water supplied at each campsite.
- Campsite bookings and National Park/State Forest day usage fees.
- Maps, route cards and compass supplied to each participant.
- Medical data collection and provision to staff.
- FREE briefing session at your college (Online or Face to Face)
- All ORB reporting requirements.
Journey exclusions:
- Personal clothing and equipment as listed on the ‘What to bring list’
- All meals for the duration of the Adventurous Journey.
- Transport to and from the start and finish locations.
Minimum required hours for completion
Required hours - The Award Handbook outlines the following hours must be demonstrated as a minimum. An AOE approved Assessor will use their discretion to determine the final outcome. See tables below for minimum hours/days required.

Adventurous Journey Discounts
1. Annual Booking Discount
1.1 Organisations booking an Adventurous Journey with us will receive a 1% discount for each consecutive year of booking, capped at a maximum discount of 25%.
1.2 Consecutive bookings must be made each year to maintain and increase the discount. A break in annual bookings will reset the discount to 0%.
1.3 This discount can be combined with other discounts to a maximum of 25%
2. Sibling Discount
2.1 A 5% discount will be applied to the booking of the second sibling for programs of equal or lesser value.
2.2 This discount applies only if both siblings are enrolled in the Duke of Ed Centre for the same calendar year.
2.3 This discount can be combined with other discounts to a maximum of 25% off and only applies to the sibling of the original participant.
3. Free Gear Hire
3.1 All participants in the Adventurous Journey program are entitled to free gear hire, which includes essential items required for the journey.
3.2 If participants choose to bring their own gear instead of utilising the provided gear, no refunds or price reductions will be offered. The free gear hire is included as part of the overall program fee, and opting out of this service does not affect the total cost of the journey.
4. Discount general terms
4.1 Discounts only apply to the costs associated with the Adventurous Journey program and excludes additional services, such as transportation.
4.2 Discounts are not transferrable to other organisations, individuals, or future bookings unless explicitly stated.
4.3 Discounts will be applied before any applicable taxes and surcharges.
4.4 All discounts are subject to availability and may be modified or revoked at our discretion.
4.5 In the event of a cancellation, any discounts applied will be forfeited. If the cancellation results in fees, the discount will not apply to the cancellation fees.
4.6 The maximum discount that can be applied to any purchase is 25%.

Administration Services (annual subscription)
The Duke of Ed Centre (previously known as the 'Award Centre')
These Terms and Conditions govern the administration services provided by Australian Outdoor Education (AOE) for participants of the Duke of Edinburgh’s Award (Duke of Ed). By registering with AOE as an participants and their guardians agree to abide by these terms.
1. Scope of services
1.1 AOE Duke of Ed Centre provides administration support to participants in the following areas
1.2 Support in tracking progress and logging activities within each Award level (Volunteering, Physical, Skills, Expedition, and Residential for Gold level).
1.3 Guidance with setting up the Online Record Book (ORB).
1.4 On completion of a level, AOE will send you certificate and badge via registered post to your school or supplied home address.
1.5 Coordinating Adventurous Journeys in accordance with the Duke of Ed requirements.
1.6 Our role is limited to administrative support and coordination.
1.7 AOE does not guarantee the completion of the Duke of Ed, as it is dependent on individual participant progress and commitment.
2. Eligibility and Enrolment
2.1 Participants must meet the eligibility requirements set out by the Duke of Ed Framework to enrol through our Duke of Ed Centre.
2.2 Participants and/or guardians must complete all required registration forms, including any necessary permissions or waivers, and agree to adhere to the Duke of Ed Code of Conduct.
2.3 ORB enrolment is subject to a non-refundable registration fee, as specified in our fees section.
2.4 Our services are limited to NSW residents only.
3. Fees and Payments
3.1 ORB registration fee applies for each level (Bronze, Silver, Gold).
3.2 AOE subscription fee covers administration services for a period of one year, regardless if you change levels within the 12 months.
3.3 Additional fees may apply for Adventurous Journeys, and other special activities organised by AOE.
3.4 All fees must be paid in full at the time of registration.
3.6 The replacement cost for a new Certificates and/or Badges is $40 per item + postage. Please contact your Duke of Ed Leader to order replacement items.
4. Refunds and Cancellations
4.1 All subscriptions are valid for 12 months from the date of purchase.
4.2 A seven day ‘cooling off period' applies to all new registrations. After this period the minimum charges apply, see section 4.3.
4.3 The minimum charge for the subscription service is $141 inc gst (6 months). After this period the refund amount will be prorated accordingly.
4.3 There is no pausing of the subscription available. The minimum charge is $141 (6 month service).
4.3 If a participant wishes to transfer to another Duke of Ed Centre, they must notify us in writing. Refer to section 4.3 for minimum charge and refunds.
4.4 Online Record Book - A participant has up to seven days from the initial registration date to request a refund from The Office of Sport for the ORB registration. This request must be in writing and is only available if the Online Record Book has not been approved.
5. Adventurous Journey and Expedition
5.1 Participants must attend all scheduled planning and training sessions to be eligible for the Adventurous Journey.
5.2 AOE will ensure compliance with the Duke of Ed safety guidelines. However, participants are responsible for their personal safety and must follow all safety instructions provided.
5.3 In cases of illness, injury, or other emergencies, we reserve the right to modify or cancel planned journeys. In such cases, alternative arrangements will be considered if possible but are not guaranteed.
5.4 In the case where you cannot attend any of AOE Adventurous Journey dates, please contact your Duke of Ed Leader to discuss options before booking Journeys through external providers to ensure the suitability of the Journey.
6. Responsibilities and Code of Conduct
6.1 Participants are responsible for maintaining their own ORB, updating activities, and providing evidence as required.
6.2 All participants must adhere to the Duke of Ed Code of Conduct, which includes respectful behaviour, commitment, and adherence to instructions during all activities and events.
6.3 AOE reserves the right to terminate a participant’s registration if they breach these Terms and Conditions or engage in behavior that risks the safety or enjoyment of others.
7. Liability
7.1 AOE and its representatives are not liable for any personal injury, loss, or damage arising from participation in the Duke of Ed program, except where caused by proven negligence.
7.2 Participants and guardians acknowledge that outdoor activities carry inherent risks. AOE takes reasonable measures to mitigate these risks but cannot guarantee complete safety.
8. Privacy and Data Protection
8.1 AOE respects the privacy of all participants. Personal data collected during registration will be used solely for administration purposes and will not be shared with third parties, except as required by the Duke of Ed or for essential program delivery.
8.2 All data will be managed in compliance with applicable data protection laws.
9. Changes to Terms and Conditions
9.1 AOE the right to modify these Terms and Conditions to reflect changes in the Duke of Ed Award requirements or internal policies. Participants will be notified of any significant changes.
